the Care Center Specialist III will perform front end clinical operations activities which include, but are not limited to: scheduling, registration, cashiering, charge entry, and will work directly with providers, scheduling and troubleshooting various Care Center issues. This position requires the Care Center Specialist III to coordinate Seating, Orthotic, Occupational and Physical Therapy Outpatient and Inpatient clinical activities and cross coverage of Care Center activities. The Care Center Specialist III will interact with patients, families, clinicians, and administrative staff in a courteous and professional manner, while placing an emphasis on adhering to high standards of customer service.

  • Operates all systems of the Care Center and performs each duty in an efficient, accurate and productive manner and cross covers daily and revises plan for covering both care centers as needed.

  • Track all new and follow up patients using the scheduling system and work with providers and KKI administrative personnel to ensure proper scheduling related to the patient’s needs according to OT/PT department policies and procedures.

  • Maintain provider schedules for completeness and keep them aware of changes and monitor productivity for each therapist on a weekly basis in conjunction with Supervisor.

  • Demonstrate leadership with responding to family, patient and clinic issues in a timely and professional manner. Seek assistance from management team, as necessary, when obtaining answers and closure to outstanding issues.

  • Responsible for overseeing daily payment drops and oversee the accurate and timely accounting of all collected cash and payments at the Care Center. Any discrepancies are to be identified and immediately communicated to the supervisor.

  • Assists with entering complete and accurate information into the registration, scheduling and charge entry system and collection superbills with checking for quality assurance.

  • Track caregiver consents, Medicare annual documentation, obtain and update patient demographic information and assist with monitoring of treatment plans specifically for Seating Clinic.

  • Daily assessment of AS400/IAMS browser information inputted from Care Management Office (CMO), related to insurance authorizations and patient requirement for patient services with identified problems and immediately communicated to manager.

  • Obtain all necessary and required signatures for any and all clinic and financial documentation.

  • Provide accurate and timely follow-up appointments for patients.

  • Maintain accurate logs and communicate regularly with vendors, families, Care Management and therapists to facilitate scheduling of complex appointments and demonstrate the ability to follow-up on issues independently.


  • High School diploma or GED required.

  • AA degree in human services related field or healthcare administration highly desirable.


· Requires at least two years related experience coordinating and operating patient services.
